Job Description	The University of Pittsburgh and Western Psychiatric Institute & Clinic of UPMC have been awarded a grant to develop a system of care to service youth, ages 8-18 that have serious mental health needs and their families. The six year grant from the federal Substance Abuse and Mental Health Services Administration (SAMHSA) will be implemented in 15 Pennsylvania counties. The System of Care Partnership will build on and enhance efforts that have been underway for several years to integrate and more effectively provide services to youth. We are seeking an experienced administrative specialist, senior to work full-time, daylight hours, Monday through Friday at our facility located in Harrisburg, Pennsylvania. This position will function under the general direction of the Director, PA System of Care Partnership to be responsible for administrative and programmatic support. Job Responsibilities: - Supports and coordinates the schedules and grant related work of the director and other key staff. -Answers incoming and outgoing communication for the PA System of Care Partnership. -Assists with planning State Leadership Team (SLT) meetings and communicating with SLT members, as well as with Youth and Family Training Institute (YFTI) advisory board members (youth, family and professionals). -Assists with efforts at on and off site conference and training facilities. Coordinates dates, materials, food and room accommodations as well as travel arrangements for staff. -Works closely with the Office of Grants and Contracts to insure that all activities are in compliance with appropriate university and funding agency guidelines. -Develops and maintains a database of participants and feedback evaluations. -Monitors and assists in the development of Purchased Service Agreements (PSA) and contracts. -Reviews monthly invoices, and processes expenses for staff and community members and maintains a spreadsheet of expenses and reimbursements. -Provides administrative support in working on grant proposals. Assists with the preparation of documents. -Prepares copies and deliveries to necessary groups for input or other requirements. Requirements: -High school diploma or equivalent is required. -Associates degree is preferred. -Three years prior administrative support experiences are required. -Experience managing one's own behavioral health issues or raising a child with behavioral health issues and/or working in the behavioral health care field preferred. -Must be capable of monitoring several projects and deadlines simultaneously while working on each effectively and accurately. -Must have strong communication skills to work effectively with a diverse range of individuals while maintaining confidentiality. -Reliable means of transportation required for occasional travel, but no overnight. -Must be proficient in Microsoft Word, Excel, and PowerPoint. -Experience working on grant/research related projects preferred. -Experience also with Microsoft Publisher, Microsoft Access, and website maintenance are preferred.
